- Our customers, including associations, committees, rodeos, production companies, and announcers, who submit data about contestants and personnel

3.6 Sensitive Information
We do not intentionally collect government identification numbers, financial account numbers, precise geolocation, biometric data, health information, racial or ethnic origin, religious beliefs, sexual orientation, or union membership.
Uploaded documents occasionally contain information of this kind, for example an injury or doctor-release notation on a daysheet. We do not use such information for any purpose other than processing the document as submitted, and we do not sell, share, or license it. Please do not upload sensitive information that is not required.
4. How We Use Information
| Purpose | Examples |
|---|---|
| Provide the Services | Authenticate you, deliver features, process imports, generate reports and cards, sync devices |
| Build and maintain the dataset | Normalize, deduplicate, and identity-match records into canonical athlete, stock, and event profiles; correct errors; enrich records |
| Produce Derived Data | Compute standings, rankings, averages, splits, percentages, career totals, indexes, and analytics |
| Improve the Services | Diagnose problems, test features, measure usage, refine our matching and parsing systems |
| Billing | Process payments, manage subscriptions and credits, prevent payment fraud |
| Communicate | Respond to support requests, send transactional and service notices, send newsletters you request |
| Security and integrity | Detect and prevent fraud, abuse, scraping, and unauthorized access; enforce our Terms |
| Legal | Comply with law, respond to lawful requests, establish and defend legal claims |
| Commercialize Derived Data | License and distribute statistical, aggregate, and derived datasets, subject to Section 5 |
4.1 Automated Processing
We use automated systems, including optical character recognition and machine-assisted matching, to read uploaded documents and to link records to canonical profiles. These systems make errors. Automated processing does not produce legal or similarly significant effects concerning any individual, and does not determine official results, payouts, eligibility, or standings for any association.
4.2 Artificial Intelligence and Document Processing
We use automated document-processing technology, including artificial intelligence (large language model) tools, to parse and interpret documents you upload for conversion or import. Uploaded documents are processed to provide the service you requested, and are retained and used to improve the Services and train our own document-processing and matching systems (see Section 7). They are not used to build advertising profiles and are not sold. This processing uses Anthropic, PBC as our AI service provider, acting as our subprocessor under confidentiality and data-protection obligations; our current subprocessors are listed on our Subprocessors page.
We do not permit third parties to use your information to train their own general-purpose models.
5. How We Share Information
5.1 Service Providers (Subprocessors)
We share information with vendors who process it on our behalf under contract. Our current subprocessors are published at rodeostat.com/legal/subprocessors, including Amazon Web Services, Stripe, Cloudflare, and Google.
5.2 Public Display
Competition results, standings, athlete and stock profiles, and event information may be displayed publicly within the Services, in embeds and widgets on third-party websites, and through our API. Competition results are, by their nature, public sporting records.
5.3 Business Customers
Where an association, committee, or production company provides data to us, we may make that data and related outputs available to that organization and its authorized users.
5.4 Licensing and Sale of Data
We may license, sell, or otherwise commercialize competition data, statistics, standings, and Derived Data to associations, media organizations, sponsors, analytics providers, and other commercial partners.
This may include licensing data to licensed sports wagering operators, their data suppliers, integrity monitors, and fantasy sports operators. RodeoStat does not operate, offer, or accept any wager, bet, pool, or gambling product of any kind. Where we license data for these purposes, we act solely as a data supplier.
Exclusions that always apply to data we license or sell:
- No person under 18. We will not sell, share, or license personal information we identify as relating to a person under 18, for any purpose.
- No youth divisions. We will not include data from youth, junior, high school, college, or amateur divisions in any dataset licensed for wagering purposes.
- No opt-outs. We will not include the personal information of anyone who has opted out of commercial licensing.
These are binding commitments stated in our Terms of Service. You may opt out at any time at Your Privacy Choices.
Under some U.S. state privacy laws, our licensing activity and our use of analytics and advertising technologies may constitute a "sale" or "sharing" of personal information. You may opt out: see Section 9 and rodeostat.com/legal/privacy-choices.
5.5 Legal and Safety
We may disclose information where we believe in good faith it is necessary to comply with law or legal process, enforce our Terms, protect our rights or property, or protect the safety of any person.
5.6 Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction. We will require the recipient to honor the commitments in this Policy, including the commitment regarding minors' data.
5.7 With Your Direction
We share information as you direct, including when you publish, export, or share content through the Services.
5.8 We Do Not
We do not sell or license personal information to data brokers for people-search purposes, and we do not disclose personal information for third-party targeted advertising.
6. Children and Minors
The Services are for adults. You must be 18 or older to create an account. We do not knowingly collect personal information directly from children.
Competition data processed through the Services may relate to minors, including participants in junior, youth, and high school rodeo.
Our commitments regarding minors' information:
- We do not sell, share, or license it
- We do not use it for targeted or behavioral advertising
- We never include it in any dataset licensed or supplied to any wagering, betting, fantasy, or gambling operator or their suppliers
- We do not use it to build marketing profiles
- We apply technical controls designed to exclude records flagged as relating to a minor from all commercial data pipelines
Responsibility for consent. Where an association, committee, or event submits data about minor participants, that organization is contractually responsible for providing notice to and obtaining consent from parents or legal guardians.
Parents and guardians: to review, correct, or request deletion of a minor's information, contact privacy@rodeostat.com. We will verify your relationship to the minor before acting.
7. Retention
| Category | Retention |
|---|---|
| Competition results, standings, and historical records | Indefinitely, as a historical sporting record |
| Derived Data and aggregate statistics | Indefinitely |
| Account and profile information | Life of the account plus 90 days |
| Uploaded source documents | Indefinitely, and used to improve the Services and train our document-processing and matching systems |

| DTA Builder uploads and outputs | Indefinitely, and used to improve the Services and train our document-processing and matching systems |
| Billing and transaction records | 7 years (tax and accounting) |
| Server and access logs | 90 days |
| Analytics data | 14 months |
| Support communications | 3 years |
| Marketing lists | Until you unsubscribe, plus suppression-list retention |
| Backups | 35 days on a rolling basis |
Why competition results are kept indefinitely. Rodeo results are a historical record of public sporting competition. Removing a result would falsify the record, break standings and career statistics, and undermine the archival and journalistic purpose of the dataset. We treat this as a legitimate and necessary purpose. Where you request deletion, we will delete your account and associated personal information, but competition results will generally be retained. See Section 9.4.
8. Security
We maintain administrative, technical, and physical safeguards designed to protect information, described at rodeostat.com/legal/security. These include encryption in transit, encryption at rest, access controls and least-privilege permissions, multi-factor authentication for administrative access, logging and monitoring, and vendor security review.
No system is completely secure. We cannot guarantee absolute security. Report a suspected vulnerability or incident to security@rodeostat.com.
If a breach affecting your personal information occurs, we will notify you and applicable regulators as required by law.
9. Your Rights and Choices
9.1 Rights
Depending on where you live, you may have the right to:
- Know and access the personal information we hold about you
- Correct inaccurate information
- Delete your personal information, subject to Section 9.4
- Port a copy in a portable format
- Opt out of the sale or sharing of your personal information
- Opt out of targeted advertising
- Limit use of sensitive personal information
- Not be discriminated against for exercising these rights
We will never deny service, charge a different price, or provide a lower quality of service because you exercised a privacy right.
9.2 How to Exercise Them
Submit a request at rodeostat.com/legal/privacy-choices or email privacy@rodeostat.com.
We will acknowledge within 10 business days and respond within 45 days, extendable by another 45 days where necessary, with notice to you.
9.3 Verification and Authorized Agents
We will verify your identity before acting, typically by confirming control of the email address on file or by matching information you provide against our records. Authorized agents may submit requests with written permission signed by you; we may still contact you directly to confirm.
9.4 Limits on Deletion
We may decline or limit a deletion request where retention is necessary to:
- Maintain the integrity of the historical competition record
- Complete a transaction or provide a service you requested
- Detect or prevent security incidents or fraud
- Comply with a legal obligation
- Exercise or defend legal claims
- Enable internal uses reasonably aligned with your expectations
In practice: we will delete your account, profile, contact details, billing associations, and usage history. We will generally retain competition results, times, scores, placings, and standings, because these are a historical record of public competition. Where we retain them, we will consider whether they can be dissociated from other identifying information.
9.5 Communication Preferences
Unsubscribe using the link in any marketing email or by emailing privacy@rodeostat.com. We will still send transactional messages about your account, billing, and security: these are not marketing and cannot be opted out of while you hold an account.
9.6 Cookies and Tracking
See our Cookie Notice and the "Your Privacy Choices" link in our footer.
9.7 Appeals
If we deny your request, you may appeal by emailing privacy@rodeostat.com with "Privacy Appeal" in the subject line. We will respond within 45 days with our decision and reasoning. If we deny your appeal, you may contact your state attorney general.
10. If You Are Not a RodeoStat User
We hold information about many people who have never used the Services: contestants, stock contractors, judges, officials, and event personnel.
Please see our Contestant Notice, which explains what we hold, where it comes from, and how to exercise your rights.

The Services are offered exclusively in the United States, Canada, Australia, Mexico, and Brazil (the "Authorized Territories").
We do not offer the Services in, and do not direct the Services at, any other country or territory, including the European Economic Area, the United Kingdom, Switzerland, the People's Republic of China, the Russian Federation, and India. We restrict access by geographic location.
If you are located outside an Authorized Territory, please do not use the Services. If you believe we hold personal information about you and you are located outside an Authorized Territory, contact privacy@rodeostat.com and we will address your request.
